Our goal is to provide owners with clear communication and reasonable expectations regarding maintenance requests, work orders, estimates, and property-related services. Below is an overview of how our maintenance process works.

Maintenance Limits

Our Maintenance Team is authorized to coordinate routine repairs within your established maintenance spending limit. When a repair is expected to exceed that limit, we will generally obtain an estimate and contact you for approval before moving forward.

For emergencies, immediate action may be necessary to prevent further property damage or address a safety concern. In those situations, we may authorize reasonable emergency measures and provide an update as soon as possible.

Please note: Internet service and certain issues outside of the property—such as building facilities, streets, or streetlights—are typically outside the scope of maintenance services we can address.

Estimate & Approval Process

When a repair requires an estimate or exceeds the applicable maintenance limit, our team follows a clear approval process. We dispatch the appropriate vendor to inspect and diagnose the issue, review the vendor’s recommendation, and share the estimate with the owner when approval is required.

Once approval is received, the work is authorized and scheduled. If additional work is discovered outside the original estimate, we may request further approval before proceeding. In some cases, the original work order may be marked complete while approval is pending, with a new work order opened for the approved follow-up repair.

The Maintenance Team is the primary contact for tenant maintenance requests, work-order coordination, vendor dispatching and scheduling, repair estimates, maintenance approvals, maintenance-related property inspections, ongoing repair follow-up, emergency coordination, and maintenance-bill questions.

Cleaning Team

The Cleaning Team coordinates move-in and move-out cleanings, annual cleanings, deep cleanings, light cleanings, and cleaning-related follow-up. Move-in and move-out cleanings are scheduled in advance based on available platform information and updates from the property manager.

Leasing Team

The Leasing Team handles property marketing and advertising, prospective tenant inquiries, showings, rental applications, lease preparation and execution, move-in coordination, lease renewals, and prospective tenant communication. For leasing-status, marketing, applicant, or lease-related questions, please contact your assigned property manager.
